The Challenge
The organization was facing significant challenges due to the need for change across several group companies and projects. The complexity was heightened by varying requirements and differing ways of working together across teams, creating coordination issues.
High time pressure compounded the situation, as dependencies between individual milestones and limited resources within the implementation team put strain on timelines. Additionally, multiple transformations were happening simultaneously, leading to change fatigue among employees and slowing down the overall process.
Resistance from affected users was another challenge, as changes in their daily routines triggered discomfort and reluctance to adopt new ways of working. Compounding these challenges was a lack of sufficient support from managers, further hindering the smooth transition and buy-in needed for success.
What we achieved
We introduced cross-project formats to foster exchange and discussion, enabling teams to align and share insights effectively across projects. To support program leadership, we provided weekly coaching sessions, helping them navigate their roles and address challenges in real time. Recognizing the need for team cohesion, we created space for team-building and further development of cooperation through quarterly team events, strengthening collaboration and trust within the project teams.
To ensure effective communication, we developed a stakeholder analysis, tailoring communication strategies to specific target groups. We also organized multiple information events and Q&A sessions for over 2,000 users, ensuring that everyone was informed and had the opportunity to ask questions and voice concerns. Additionally, we facilitated quarterly planning workshops for each project, promoting an agile approach and enabling iterative progress toward project goals. This ensured that each project could adapt to changes and improve over time while maintaining alignment with broader objectives.
